PROJECT GUIDELINES

These Project Guidelines work alongside The Branding Shop Co. Terms of Service, Client Services Agreement, Refund Policy, and Cancellation & Rescheduling Policy.
They are designed to help every project move smoothly, efficiently, and with clear expectations from beginning to completion.
By participating in an active project with The Branding Shop Co., you agree to follow the guidelines below.
1. PROJECT COMMUNICATION
Official project communication should remain within approved business channels.
Depending on your project, this may include:
the Client Portal
email
business SMS
scheduled video or phone calls
approved project forms
Personal social media accounts and personal phone numbers are not official project communication channels.
Please keep project-related communication within the designated systems so important information, approvals, and decisions are easy to track.
2. CLIENT PORTAL
Your Client Portal serves as the primary home for your active project when applicable.
You may use the portal to view or access:
project information
invoices
payment details
documents
forms
shared files
assigned Client tasks
approvals
scheduling information
important project updates
You are responsible for regularly reviewing the portal and completing requested actions by the communicated deadlines.
3. RESPONSE TIMES
Timely Client participation is essential to keeping your project moving.
Unless another deadline is provided, please respond to required project communication within five (5) business days.
This may include:
approvals
feedback
questionnaires
asset requests
account access requests
scheduling requests
project decisions
assigned Client tasks
If you know you will be unavailable, please communicate that as early as possible.
Extended inactivity may result in a project hold or archive under the Cancellation & Rescheduling Policy.
4. FEEDBACK
Feedback should be:
clear
specific
consolidated
submitted through the requested communication channel
Whenever possible, collect all feedback from your team before sending it to The Branding Shop Co.
Multiple rounds of conflicting or piecemeal feedback can slow production and may create unnecessary revisions.
Feedback should focus on the approved project objective and scope.
5. APPROVALS
Projects may include approval points before work moves into the next phase.
When you approve a:
strategy
direction
design
layout
campaign
concept
deliverable
project stage
The Branding Shop Co. may proceed based on that approval.
If you later request significant changes to something that has already been approved, those changes may fall outside the original revision allowance or scope.
6. REVISIONS
Revision allowances depend on your approved service and project scope.
Revisions are intended to refine an established direction.
Examples may include:
adjusting copy
minor layout changes
changing approved imagery
refining visual details
correcting factual information
adjusting an existing concept
Revisions do not include completely restarting an approved direction or introducing a new project objective.
Requests that substantially change the original scope may require additional fees or a new service.
7. ASSETS AND CONTENT
Clients are responsible for supplying requested materials by the communicated deadlines.
Depending on the project, this may include:
logos
fonts
brand guidelines
photography
videos
product information
pricing
policies
copy
testimonials
account credentials
platform access
legal or regulatory information
Materials should be complete, accurate, and ready for use.
Missing or incomplete assets may delay the project.
8. CLIENT-PROVIDED INFORMATION
You are responsible for ensuring that information you provide is accurate and legally appropriate for use.
The Branding Shop Co. does not independently verify every:
price
product claim
ingredient claim
service claim
business statement
legal disclosure
statistic
testimonial
trademark
copyright
policy statement
Clients are responsible for reviewing final materials for factual and legal accuracy before publication or launch.
9. ACCOUNT AND PLATFORM ACCESS
When platform access is required, please provide the appropriate level of permission needed to complete the approved work.
Whenever possible, use official collaborator, staff, partner, or delegated-access features instead of sharing personal passwords.
You are responsible for:
maintaining account ownership
maintaining active subscriptions
keeping payment information current
protecting credentials
removing unnecessary access after project completion
Delays caused by unavailable access may affect project timelines.
10. MEETINGS
Not every project requires frequent meetings.
The Branding Shop Co. uses meetings intentionally and may rely on asynchronous communication when a meeting is unnecessary.
Required meetings may include:
scope review
kickoff
strategy sessions
milestone reviews
final walkthroughs
Please arrive prepared and on time.
Meeting rescheduling and missed meetings are governed by the Cancellation & Rescheduling Policy.
11. BUSINESS HOURS
Project communication is handled during The Branding Shop Co.’s established business hours.
Messages received outside business hours will be addressed during the next available business period.
Sending multiple messages through different channels does not accelerate response time.
For urgent matters, use the communication method designated for your project.
12. PROJECT TIMELINES
Project timelines are based on:
the approved scope
Client responsiveness
timely approvals
timely asset delivery
platform availability
scheduled production capacity
Timelines may shift when these conditions change.
Client-caused delays automatically extend the project timeline.
13. SCOPE BOUNDARIES
The approved project scope defines what is included.
Requests such as:
additional pages
additional products
new campaigns
new integrations
additional platforms
new automations
additional strategy
new creative directions
ongoing maintenance
additional deliverables
may require additional pricing.
If a request falls outside the approved scope, The Branding Shop Co. will let you know before completing the additional work.
14. ADDITIONAL REQUESTS
We understand that new ideas often come up during a project.
You are welcome to ask about additional support.
When a request falls outside your current project, we may:
add it through an approved scope change
recommend another service
provide separate pricing
schedule it as a future project
Additional work is not automatically included because it relates to the same business.
15. THIRD-PARTY TOOLS
Your project may involve third-party tools such as:
website platforms
email marketing platforms
SMS platforms
ecommerce systems
payment processors
project management systems
scheduling tools
applications
plugins
integrations
The Branding Shop Co. does not control third-party platform availability, pricing, policies, outages, or feature changes.
If a third-party limitation affects the original plan, we may recommend an alternative solution.
16. CLIENT DELAYS
If you are unable to complete a required task or provide something on time, communicate with us as early as possible.
We would rather adjust expectations proactively than repeatedly chase missing information.
If required Client participation is missing for an extended period, your project may be placed on hold or archived.
The Branding Shop Co. is not responsible for continuously following up indefinitely.
17. PROJECT HOLDS
Projects may be placed on hold for reasons including:
missing assets
missing approvals
lack of communication
overdue payments
unavailable account access
repeated missed meetings
incomplete Client tasks
unresolved project decisions
When a project is placed on hold, production stops and the original timeline is no longer guaranteed.
18. PROJECT REACTIVATION
Projects archived because of Client inactivity do not automatically return to active production when the Client becomes available again.
Reactivation may require:
updated availability review
completion of outstanding Client tasks
payment of outstanding balances
a revised timeline
updated scope
updated pricing
a reactivation fee
Your original production position is not guaranteed.
19. PAYMENTS
Payments are managed through the approved billing system associated with your project.
Please review:
invoices
due dates
payment schedules
saved payment authorization
outstanding balances
A failed or overdue payment may result in an immediate project hold.
Payment responsibilities remain governed by your Client Services Agreement and approved payment schedule.
20. CLIENT TASKS
Some projects require Client participation through assigned tasks.
Examples include:
uploading assets
answering questionnaires
reviewing copy
approving designs
providing product information
granting access
selecting options
Please complete assigned tasks by the requested date.
Your project may not move forward until required tasks are complete.
21. PROJECT STATUS
Project status information provided through the Client Portal is intended to help you understand where the project currently stands.
Statuses may include stages such as:
onboarding
waiting on Client
in progress
review
revision
implementation
final review
completed
on hold
A status does not necessarily represent every internal production task being performed by The Branding Shop Co.
22. INTERNAL WORKFLOWS
Clients may see Client-facing project milestones, but The Branding Shop Co.’s internal:
task lists
workflows
production schedules
automation systems
operating procedures
internal notes
remain internal Company systems.
We will provide the information you need to participate effectively without requiring visibility into every internal operational task.
23. DELIVERY
Final deliverables are provided according to the approved scope.
Delivery may occur through:
the Client Portal
shared folders
email
website or platform implementation
another approved digital delivery method
Clients are responsible for downloading and securely storing applicable final files.
24. FINAL REVIEW
When the project reaches final review, please carefully review all applicable deliverables.
Check:
spelling
pricing
product information
links
contact information
dates
legal information
brand details
visual content
factual accuracy
Once final approval is provided, additional changes may require additional fees depending on the request.
25. PROJECT COMPLETION
A project may be considered complete when the deliverables included in the approved scope have been delivered or implemented.
Project completion does not require indefinite Client acknowledgment.
If final work has been delivered and The Branding Shop Co. has made reasonable attempts to obtain any remaining Client response, the project may be closed according to the Cancellation & Rescheduling Policy.
26. POST-PROJECT SUPPORT
Unless specifically included in your approved scope, ongoing maintenance, management, updates, technical support, marketing execution, or continued consulting are not automatically included after project completion.
If you need additional support after completion, a new service or project may be recommended.
27. PROFESSIONAL CONDUCT
We are committed to maintaining a respectful and productive working environment.
Clients are expected to communicate professionally and respectfully with The Branding Shop Co. and any individuals supporting their project.
Harassment, threats, abusive communication, discrimination, or repeated boundary violations may result in project suspension or termination.
28. CONFIDENTIALITY
Please avoid sharing confidential project information, account access, sensitive business materials, or Client Portal credentials with unauthorized individuals.
The Branding Shop Co. will also use reasonable care when handling non-public information associated with your project.
29. QUESTIONS AND CLARIFICATION
If you do not understand a project requirement, deliverable, deadline, invoice, or assigned task, please ask before the relevant deadline.
Questions are welcome.
Clear communication early in the process helps prevent unnecessary delays and misunderstandings later.
30. ACCEPTANCE
By participating in an active project with The Branding Shop Co., you acknowledge that successful completion depends on collaboration between both parties.
You agree to:
communicate through approved channels
provide timely feedback and approvals
complete required Client tasks
provide accurate information and materials
maintain required platform access
meet applicable payment obligations
respect project scope and communication boundaries
notify The Branding Shop Co. when circumstances may affect your participation
These Project Guidelines are incorporated into and work alongside the applicable Terms of Service, Client Services Agreement, Refund Policy, and Cancellation & Rescheduling Policy.
